Custom Software vs Tally, Zoho or Off-the-Shelf ERP: Which Is Right for a Small Business in India?

Short answer: if your business works the way most businesses in your industry work, start with ready-made software such as Tally for accounting or Zoho for CRM and inventory. Choose custom software when your process is what makes you different, when you are juggling several tools plus Excel and WhatsApp to fill the gaps, or when your team keeps working around the software instead of with it.

What off-the-shelf software does well

  • Low starting cost: you pay a licence or subscription instead of a development project.

  • Fast to start: accounting packages like Tally and SaaS suites like Zoho can be set up in days.

  • Proven for standard work: bookkeeping, invoicing, GST returns and basic stock tracking are well covered.

  • Ecosystem: accountants, trainers and consultants already know these tools.

Where off-the-shelf software starts to hurt

  • Your workflow doesn't fit: field teams, subscriptions, job scheduling, incentives or multi-step approvals often aren't supported the way you actually work.

  • Too many disconnected tools: one tool for accounts, another for leads, Excel for attendance and WhatsApp for everything else means data is entered several times and never matches.

  • Per-user pricing grows with you: subscription costs rise every time you add staff or modules.

  • Workarounds become the process: when staff keep side spreadsheets because the software can't do something, you have the cost of software without the control.

When custom software is the better choice

  • Your operations are your competitive advantage and generic software would force you to change them.

  • You need one system across sales, operations, staff, inventory and accounts instead of five tools.

  • Owners and managers need live visibility of field or branch operations, not end-of-month reports.

  • You have tried packaged software before and the team stopped using it.

Can you combine both?

Yes, and many MSMEs should. A common pattern is to keep a standard accounting package for statutory books and filing, and build custom software for the operational side: bookings, field work, production, attendance and incentives. A well-built custom system can pass the data your accountant needs instead of replacing tools that already work.

Quick decision checklist

  1. List the 5 tasks that take your team the most time each week.

  2. Check whether a ready-made tool handles all 5 without workarounds.

  3. If it does, buy it. If two or more need Excel, WhatsApp or manual re-entry, custom software is worth evaluating.

  4. Ask any custom developer to show you a working prototype of your own workflow before you sign anything.

A real example

A doorstep car wash business in Mumbai needed subscriptions, washer scheduling, GPS check-ins, incentives, payroll and GST in one place, which no single packaged tool covered. Read how Genxa built it.

Genxa builds custom software for MSMEs in Gujarat and Maharashtra, and shows you a live working prototype before you commit to anything. Book a free discovery call.
